How We Keep Your Confidential Information Safe at Venturenomix

Keeping your confidential data safe

For SME founders and innovators, your intellectual property and trade secrets are among your most valuable assets. Trusting an external organisation with that information is a significant step that we have always taken seriously.

In today’s landscape of large language models, data harvesting tools, and increasingly sophisticated cyber threats, the question of “who has access to my data?” has never been more important. It’s especially important for businesses working with novel technologies and innovative trade secrets.

Having worked in R&D grant funding for over 20 years, we know how important data security is. Below, we outline exactly what we do to keep your information safe, and why we’ve maintained a clean record with zero data incidents throughout our history.

Cyber Essentials Certified

Venturenomix holds the Cyber Essentials Certification – the UK government’s leading cyber security accreditation. Achieving this independent certification involved months of rigorous work in collaboration with the IASME team, who independently assess and accredit organisations against the scheme’s strict requirements.

Cyber Essentials certification demonstrates that we have the right technical controls in place to protect against any cyber attacks.

A Responsible Approach to AI and LLMs

Venturenomix is a human-led consultancy. Our team’s expertise is at the heart of everything we do, and any use of AI tools is carefully considered and tightly controlled.

In 2025, our whole team met for a dedicated week on how we can effectively and safely LLMs and AI in our work. We developed a rigorous internal toolkit that sets clear guidelines on:

  • Which AI tools are approved for use
  • What types of client data can and cannot be inputted
  • How outputs are reviewed and handled
  • How our practices are updated as new developments emerge

We subscribe to the highest levels of data security available within the AI tools we use, and we continuously review our approach as the landscape evolves.

Audit of all our suppliers to ensure no room for data leakages

We only work with suppliers who meet our standards for privacy and data protection. We maintain an internal supplier map that records the location, data handling practices, and security credentials of every organisation we work with.

Secure AI Note-Taking – With Your Consent

We use a secure, enterprise-grade AI note-taking platform to capture the key details of our client meetings accurately. We have invested in enhanced security features specifically for this purpose.

We will always ask for your permission before our note-taker joins a call. You are in control of what is recorded and how that information is used.

Our Commitment to You

We understand that working with an external partner on grant applications means sharing sensitive details about your technology, strategy, and business. That trust is not something we take lightly. From our Cyber Essentials certification to our supplier audits, our AI framework, and our consent-first note-taking policy, every element of how we operate is designed with your data security in mind.

If you have any questions about how we handle your data, or would like to discuss working with us, we’d be happy to talk.
